Hostess Check List

Send out the supplied invitations to your prospective party guests, telling them the “when and where” of the party. Remember to write your phone number on the invitation, as you must receive a phone call, email, etc. in order to fill out your time sheet. OVER-INVITE for the party, as not everyone will be able to attend.

As your guests RSVP, fill their names into a time sheet at fifteen minute intervals. Guests should arrive a little early to the party; if we lose five minutes out of only fifteen minutes of their photography time, that can make a huge difference, particularly with more than one child.

Email me a copy of the time sheet that includes the guest’s last name and the ages of the children to be photographed (this will tell me what sorts of age-appropriate props I need to bring).

Call and/or email guests one day before the party (or the day of) to remind them.

Dress children for Portrait session (if your own children are being photographed)

Greet Guests and make them comfortable.

Follow your time sheet, watch the clock, and direct guests to the photography area at their reserved time period. (Photography sessions MUST stay on time!)

Once all orders have been submitted (ten days after the party, the online galleries will be taken down), I will compile a list of all guests and their orders and let you know the total. Hopefully, your entire order will be covered! Please keep in mind that your rewards as a hostess will be calculated from the subtotal (before tax).

The password is your first and last name, all lowercase and run together.

The entire photography order will be sent off eleven days after your party, and will be delivered to you no later than ten days after that. Party guests will pick up their orders from you, and you’ll want to walk through their order forms and pictures with them before they leave, just to make double sure everything is there.

If your guests express an interest in hosting a party after we have left, please put them in contact with us. If they book within the ten days after your party, you get an additional $30 credit!
